VIPS General Board Meeting: The first VIPS General Board meeting for the 2008-09 school year will be on Wednesday, May 21, 2008 at 9am in the Merrell Center (LMC) Conference Rooms 142-144.
All VIPS Coordinators, Parent Organization Presidents and VIPS Liaisons for 2008-09 should plan to attend.
- Ample parking is available on the west side of the LMC. Click here for a map.
- Rooms 142-144 are located immediately inside the west doors.
- Please sign in, and pick up your agenda and handouts from your folder in the file box, at the sign-in table.
- We will begin promptly at 9am.
- Bring your VIPS notebook. If you have not yet received your notebook, please contact your predecessor.
- If you are representing one of the schools opening next year, we will have your new notebooks ready for pick up.

- Learn about our VIPS program theme for next year.
- Find out how you can get your campus volunteer program off to a great start, and what you can do over the summer to help you be prepared.
- Meet your VIPS Executive Board mentor.
- You'll receive the 2008-09 VIPS calendar to help you plan your year.
- Learn about gathering and reporting your campus volunteer hours.

Submitting Volunteer Hours
- Volunteer hours are reported from June 1st to May 31st each year.
- Volunteer hours reports are due monthly on the 10th of each month to the VIPS Executive Board member for Data Management. e.g. August hours should be reported by September 10th; September hours are due by October 10th, and so on.
- Summer volunteer hours (June and July) may be reported with the August hours.
- The total number of on-campus and off-campus volunteer hours should be submitted separately. Individual spreadsheets are not required.
- The deadlines to report previously unreported hours are as follows:

VIPS Kick-Off video: Plug in those volunteers all year long! The VIPS Kick-Off video will be accessible on the Katy ISD 'K' drive by campus administrators at any time during the school year. If you would you like a district representative to attend an event at your school at which the video will be shown, please notify Kathy W. the VIPS Executive Board Training Chair.

- VIPS Coordinators: read the helpful month by month VIPS Coordinators Helpful Checklist for information about managing your volunteer program.
- Is this your first year on the VIPS General Board? Read our handout Frequently Asked Questions by VIPS General Board Rookies.
- Provide links on your campus and parent organization website to allow parents to navigate easily between the different websites that serve your campus, Katy ISD and the VIPS program.
- When sending emails to a group of volunteers use the 'blind copy' option to maintain confidentiality of your volunteers' email addresses.
- Need some ideas about gathering those elusive volunteer hours? Download Gathering Volunteer Hours Success Stories and Ideas to learn what has worked on other campuses.
- 'Double the Gift' volunteer hours reporting form: Download the volunteer hours reporting form from the Volunteer Forms section of the Documents page, and adapt it for use at your school. Publish it in your campus newsletter, distribute it to your volunteers via email, or post it on your campus, parent organization and booster club websites.
